The Executive Director and Deputy Director of Catalyst Campus
are seeking to add a key member to the Catalyst Campus administrative support team. This position will be responsible for managing the Executive and Deputy Director’s email, meetings, schedule, travel, and support of daily activities. The ideal candidate should have a strong work ethic, be resilient, passionate and enjoy building relationships. This position will frequently be the first or point of contact and will act as the right-hand person for the Director and Deputy Director.

Essential Functions
  • Ability to engage with broad range of people, members, stakeholders, government officials, and business executives on behalf of the Director(s) to coordinate and promote the Catalyst mission
    • To create an economic development ‘cluster’ to expand the aerospace and defense industrial base in southern Colorado through a collaborative infrastructure that supports
      entrepreneurs and small businesses.
    • To be a leading-edge incubator, accelerator and research and development facility offering small to medium-sized businesses a scalable infrastructure platform that promotes technology advancement and guides technology transfer from the government to the commercial market and vice versa.
  • Work with the Director(s) to assist with campaign development, promotions, programming, trade shows and events.
  • Manage the implementation of current and future software systems such as Customer Relationship Management, Economic Development Measurement Software, and other technologies utilized by Catalyst Campus.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Participate, take notes and create materials from high-level discussions.
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications; creating PowerPoint presentations and preparing materials for meetings.
  • Responds to inquiries via face-to-face conversations, phone, email, and fax, and in person networking.
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Prepares reports by collecting and analyzing information; completes projects.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is largely an active role and requires the ability to lift and move furniture, frequent standing, walking and carrying heavy objects.

Required Education and Experience
Bachelor’s degree, or 5+ years of EA experience.

Preferred Education and Experience
Previous executive assistant, legal secretary and/or paralegal experience.
